What should businesses actually look for when choosing a Google Workspace backup solution? I’m reviewing this for an organization where Gmail is only one part of the data that needs protection. Employees also use Google Drive, Shared Drives, Contacts, Calendars, Tasks, and Google Chat, so a mailbox-only backup would leave quite a bit of business information uncovered.
Another concern is controlling what gets backed up. Some departments need their complete history, while others may only require recent data. Date filters, selective folders, and the ability to process specific data types would make the backup easier to manage instead of creating unnecessary copies of everything.
While comparing different options, I came across the SysInfo Google Workspace Backup Tool. It supports Gmail, Drive, and Chat data and can save information in formats such as PST, MBOX, PDF, and CSV. It also supports contacts and calendars in formats such as VCF and ICS, which could be useful when creating a broader business archive.
For a business environment, I’d also want to know how the tool handles multiple accounts. Manually configuring every user could become difficult when there are dozens or hundreds of mailboxes. CSV-based account mapping and Workspace Admin Domain Wide Delegation seem more practical for larger backup projects.
Another factor is what happens when a backup is interrupted. I’d prefer not to restart the entire process if most of the data has already been processed. Resume capabilities, duplicate handling, skipping previously migrated items, and detailed reports would help with both recovery and verification.
I’m currently comparing Google Workspace backup software based on these requirements rather than simply looking at storage formats. Security and data handling are also important, especially for businesses dealing with confidential emails and documents.
For IT administrators who have evaluated a G Suite backup tool, what features mattered most to you? Did you prioritize multi-account support, local processing, selective backup, reporting, duplicate handling, or the ability to migrate the data to another cloud platform?
