An error occurred while saving the comment Cloud migration projects often focus heavily on moving data from one platform to another, but I think the backup strategy deserves equal attention. When an organization has years of business emails, attachments, contacts, and calendars stored in Microsoft 365, relying only on the migration process may not be enough. A separate copy can provide an additional recovery option if something goes wrong.
One example is when businesses migrate Office 365 to Google Workspace as part of a platform transition. Before starting, administrators need to understand exactly what data is being moved and how source information will correspond with destination accounts. Mailbox mapping, authentication, folder selection, and data verification should ideally be tested with a small group before processing the complete environment.
The timing of the migration can also create challenges. Employees may continue receiving emails after the initial transfer has started. If the migration takes several days, the destination mailbox may not contain messages received during the later stages of the project. A final incremental pass can therefore be useful for capturing newly added information without transferring the entire mailbox again.
Another question is what happens if an administrator accidentally deletes important information during preparation or configuration. A separate backup provides an additional layer of protection and can be especially valuable for organizations that need to retain historical communication. I’ve been looking at Office 365 Backup Software that can back up primary mailboxes, archive mailboxes, and public folders while maintaining their original organization.
I would also prefer a backup process that provides some control over the data being saved. For example, date filtering can be useful when an organization wants to archive emails from a particular period. Duplicate detection can help keep the backup cleaner, while options for exporting to PST, PDF, EML, MSG, MBOX, or CSV provide flexibility for different recovery and archival requirements.

Moving PST files into Microsoft 365 isn't only about transferring emails from one location to another. In a business environment, these files can contain years of communication, customer conversations, attachments, contacts, and calendar information. When multiple employees are involved, the migration needs to be organized carefully so that each archive reaches the appropriate mailbox.
Microsoft's Network Upload process is one option available to administrators. The workflow generally involves assigning the required import permissions, creating a PST import job in Microsoft Purview, uploading the files through Azure Storage with AzCopy, and preparing a CSV mapping file that connects the PST files with their destination mailboxes. Once Microsoft validates the mapping information, the administrator can start the import and monitor the process.
Before doing that, I would recommend creating a migration spreadsheet containing the PST file name, user name, destination mailbox, file size, and migration status. This simple step can make a big difference when dozens or hundreds of archives are involved. It also gives the IT team a clear record of which files have already been processed.

A small pilot migration before the full project can make this verification process easier.
For smaller environments, Microsoft's built-in process may be sufficient, particularly when the administrator already understands Microsoft 365 and Azure. For larger projects, a dedicated application can provide additional controls for batch processing and selective migration.
In my opinion, the most important part is not simply choosing a tool but creating a structured migration plan first. Knowing which PST belongs to whom, what data needs to be moved, where it should go, and how the results will be checked can make the entire Microsoft 365 migration considerably more predictable.
